1. Who we are

2. Scope

This policy explains how we collect, use, share, and protect information in connection with our website and our internal software integration ("TaDa Accounting AI"), which connects to clients' QuickBooks Online (QBO) company files to perform bookkeeping and accounting services.

3. Information we collect

  • Client financial data from QuickBooks Online — accessed only when a client authorizes the connection: transactions, journal entries, reports (P&L, balance sheet, trial balance, general ledger, A/R and A/P aging), chart of accounts, vendor/customer records, and, where authorized, payroll information.
  • Contact and account information — names, email addresses, and business details you or your clients provide.
  • Technical data — basic logs needed to operate and secure the integration.

4. How we use information

We use the information solely to provide bookkeeping, cleanup, reconciliation, reporting, and advisory services to the client who authorized the connection, to communicate with you, and to maintain the security and integrity of our systems. We do not sell personal or financial information.

5. Authorization and legal basis

We access a client's QuickBooks Online data only with that client's authorization, established through Intuit's OAuth authorization flow and our engagement with the client. A client may withdraw authorization at any time.

6. How we share information

We share information only with: (a) Intuit, as necessary to connect to QuickBooks Online under Intuit's API terms; (b) service providers/subprocessors that help us operate — including our AI processing provider (Anthropic, which powers the AI assistant we use) and our website host (Wix) — under confidentiality obligations; and (c) authorities where required by law. We do not sell data or use client financial data to train third-party AI models.

7. Data storage, security, and retention

Access credentials (OAuth tokens) are stored securely on firm-controlled systems and are not shared. We apply reasonable administrative, technical, and physical safeguards, including access controls and encryption in transit. We retain client financial data only as long as needed to provide services and to meet professional, legal, and tax-record obligations, then delete or de-identify it.

8. Your rights and choices

You may request access to, correction of, or deletion of personal information we hold about you, and you may withdraw a QuickBooks authorization at any time. To make a request, email rachel@tada-accounting.com. California residents (CCPA/CPRA): you have the right to know, delete, correct, and opt out of "sale"/"sharing" of personal information; we do not sell or share personal information as those terms are defined.

We may update this policy; the "Effective date" above reflects the latest version. Material changes will be posted on this page.
