Why Your QuickBooks Balance May Not Match Your Bank Balance

You log into QuickBooks, then log into your bank account, and the two numbers don't match. Your first instinct might be to panic. Your second instinct might be to assume something is broken.

In most cases, neither is true. A mismatch between your QuickBooks balance and your bank balance is one of the most common things we see, and there's usually a clear, fixable reason behind it. Here's what's actually going on, and when a mismatch is worth a closer look.

Outstanding Transactions Are the Most Common Cause

The most frequent reason your QuickBooks balance won't match your bank balance is timing. You might have written a check that hasn't been cashed yet, or issued a bill payment that's still in transit. QuickBooks records that transaction the moment you enter it, but your bank doesn't reflect it until the check actually clears.

The same is true in reverse. A deposit might show up in your bank account before it's been entered into QuickBooks, especially if it came in through a payment processor or a bank feed that hasn't synced yet.

This is completely normal. It's also exactly what reconciliation is designed to catch and explain.

Bank Feed Errors Can Throw Things Off

QuickBooks Online typically connects directly to your bank account through a bank feed, pulling transactions in automatically. Convenient as this is, bank feeds aren't perfect. A transaction can get imported twice, skipped entirely, or pulled in with the wrong date.

If your bank feed hasn't been reviewed carefully, these small errors can accumulate over time, creating a gap between your books and your actual bank balance that keeps growing the longer it goes unchecked.

Uncategorized or Unreviewed Transactions

Every transaction that comes through your bank feed needs to be reviewed and categorized. Until that happens, it sits in a pending or "for review" status. Depending on how your QuickBooks file is set up, uncategorized transactions can sometimes affect what your account balance shows, especially if entries are duplicated during the review process.

This is one of the reasons monthly bookkeeping matters so much. When transactions get reviewed and categorized consistently, this kind of gap gets caught right away instead of piling up.

Manual Entries That Don't Match Reality

Sometimes the issue isn't the bank feed at all. It's a manual journal entry, a duplicate transaction entered by hand, or an edit made directly to a transaction after it was already reconciled. These changes can quietly shift your book balance without any corresponding change in your actual bank account.

This is why reconciled transactions should generally be left alone. Editing something that's already been matched to a bank statement is one of the fastest ways to create a mismatch that's hard to trace later.

When a Mismatch Signals a Bigger Problem

A small, explainable gap between your QuickBooks balance and your bank balance is normal and expected. What's worth paying attention to is a gap that's large, growing, or one you can't explain after checking for outstanding transactions.

That kind of mismatch usually points to something that needs a closer look: duplicated entries, a bank feed that hasn't been reviewed in months, or books that have fallen behind on reconciliation altogether. The longer it goes unaddressed, the harder it becomes to untangle.

How to Keep Your Books and Bank Balance Aligned

Reconciling your accounts every month is the most reliable way to catch these gaps early. During reconciliation, every transaction in QuickBooks gets matched against your actual bank statement, so any discrepancy gets identified and explained while it's still small.

If you've looked at your QuickBooks balance and your bank balance and the difference doesn't make sense, that's a good sign it's time for a closer look at your books, not a sign that something is unfixable.
